Who we are
This website is run by Escala Digital Ltd registered in England and Wales, company number 17462414, with its registered address at Unit 1.2d, Sleaford Moor Enterprise Park, Enterprise Way, Sleaford, United Kingdom, NG34 7DE. We are the data controller for personal information collected through this website.

What information we collect
Enquiries. If you use our contact form or email us, we collect your name, email address, phone number if you give it, and the contents of your message.
Website use. Our hosting provider keeps standard server logs, which include your IP address, browser type and the pages requested. We use these to keep the site secure and working.
Cookies. This site uses cookies for the purposes that WordPress needs to work and for analytics purposes.
Chat assistant. If you use the chat assistant on our site, we collect the messages you send, your name and email address, and a phone number if you choose to leave one. We also record the page you started the chat on, the page you first arrived on during that visit, and the website that sent you to us (for example a search engine or social media site), so we know how people find us. The assistant is an AI, and your messages are processed by our AI provider to write its replies. We also use your IP address briefly to limit abuse, and your browser keeps a temporary session ID and a note of the page you arrived on, so the chat can continue while you move around the site. Both are cleared when you close the tab.
We do not knowingly collect information from children.

We do not sell your information, and we do not use it for automated decision-making or profiling.
We will only send you marketing emails if you have asked us to, and you can unsubscribe at any time.
Who we share it with
We share information only with providers that help us run the business, and only what they need:
- Our website hosting provider, Hostinger
- Our email provider, Ionos
- Our customer relationship management system, Hubspot
- Our ticketing system, Jira.
- Our AI provider, Anthropic, which processes chat messages to write the assistant’s replies (based in the United States)
We may also disclose information where the law requires it. Where a provider handles data outside the UK, we rely on safeguards such as the UK’s approved transfer mechanisms.
How long we keep it
- Enquiries that do not lead to work: 1 month, then deleted.
- Chat conversations that do not lead to work: 1 month, then deleted.
- Client records and invoices: 6 years, to meet tax and accounting requirements.
- Server logs: 30 days, or as set by our host.
Your rights
Under UK data protection law you can ask us to:
- Give you a copy of the information we hold about you
- Correct anything that is inaccurate
- Delete your information, where we have no reason to keep it
- Restrict or object to how we use it
- Move your information to another provider, where this applies

Security
We use reasonable technical and organisational measures to protect your information, including access controls and secure hosting.
Complaints
If you have a concern, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
